SUBJECT: REASONS FOR FOOD SUBSTITUTION
Dear Madam Taylor,
The recently held luncheon catered by the Cook Catering service was a great success. The guests enjoyed their meals and they even complemented the operator for a meal well cooked. All the associates were all smiles when they were done with their meals. It is worth noting that Cook Catering service strives to provide the best services for its coveted customers. The operator thanks your office for the seamless cooperation that was displayed during the luncheon.
However, as indicated in the mail from your office, the luncheon did not go down as arranged. The original plan was for the guests to be served a meal that included the salmon for the luncheon. It was unfortunate that the supplier was not able to provide enough salmon to serve all the guests that were in attendance. Therefore, the menu was to be changed for all the guests to eat a uniform meal. The salmon was replaced by the halibut. Efforts to reach you on your phone to explain the unfortunate development were futile.
Due to the development, your office is requesting for a refund of $4 per plate. Kindly note, that the decision to replace the salmon with the halibut was purely professional. Additionally, charging the customers the originally agreed upon amount is within the common business policy that governs the food industry. Even though the money will not be refunded, Cook Catering service undertakes to give you a discount on the soon to be held luncheon. Cook Catering service’s new and improved menu has such delicacies as the Texas steak and the California pizza among other meals. Therefore, feel free to suggest the additional delicacy to be added in the next luncheon’s menu as a compensation for the unfortunate development.
